Changing SEO Agency or Freelancer: Handover Checklist

Short answer: When you change SEO agency or freelancer, secure ownership first: your Search Console, analytics, tag manager, hosting, domain and content accounts must be in your name. Then collect what was done: reports, change records, the keyword and page plan, link and content lists and any tools installed on the site. Check for risky practices, agree a clean end date, and start the new partner with a fresh, independent audit so that the baseline is documented and nothing is lost in the move.

Changing provider is common and often the right decision. Goals change, results disappoint or the work outgrows the partner. The risk is not the change itself, but the loss of information and access. Many owners discover too late that the analytics account belongs to the agency, that nobody knows which pages were redirected or that a plugin installed long ago is slowing the site. This guide is a practical checklist for a calm handover, whether you are leaving a large agency or a single freelancer. For choosing the next partner, see the guide to red flags when choosing an SEO provider.

Before you give notice

Read the contract. Check the notice period, the minimum term, the ownership of work, the rules for access and the handling of data after the end. Decide the date on which the work ends and plan overlap with the new provider if possible. Do this before telling the current partner, so that you know what you are entitled to ask for.

Make sure you can reach everything without help. Test logins for the tools that matter, and list the ones you cannot open. If you suspect that the relationship may become difficult, secure access first and talk afterwards, in a polite and professional way. Most partners hand over properly, and a calm tone makes it easier.

Accounts you must own

The most important point is ownership. The following should be registered to your business and your email, with the agency added as a user, and never the other way around:

Add the new provider only when the old one is removed, and review the list of users at the end. Remove people who no longer need access, and change shared passwords. The risks of the tag manager are covered in the guide to Google Tag Manager risks.

Documents and records to collect

Ask for everything that explains what was done and why. Useful items are the original audit and strategy, the keyword research and page mapping, the content calendar and published content list, the monthly reports with the data behind them, the list of technical changes and redirects, the list of links built or requested and any outreach records, the disavow file if one exists and notes about experiments and results. If the partner kept a change log, ask for it, as described in the guide to an SEO changelog. See also the guide to SEO reporting for clients.

Ask for the editable files as well as the PDFs: spreadsheets, documents and exports, so that the new partner can continue the work. Any content written for you, such as articles and page copy, should be delivered in final form with the rights clear in writing.

Check what is on the site

Make a list of everything that was added to the site: plugins, scripts, redirect rules, schema markup, tracking codes, custom code in the theme and settings in the SEO plugin. Ask which are needed and why. Unknown scripts and old plugins can slow the site or break pages. Check the robots.txt file, the sitemap, the noindex settings and the redirects, because they are powerful and easy to forget.

Ask the developer or the provider to document any special arrangement, such as an external blog on a subdomain, a reverse proxy or a staging copy. Staging sites must stay out of the index, see the guide to fixing an indexed staging site.

Review the links and any risky practices

Ask openly what link building was done. Obtain the list of acquired links, and check them against the rules in the guide to Google spam policies. Paid links, networks and mass directory submissions can be a risk even if they worked for a while. If you find problems, do not panic or disavow everything. Follow the careful approach in the guide to when to use the disavow tool, and in the guide to manual actions if a notice exists.

Check also the content: copied text, mass-generated pages, hidden text and keyword stuffing. Anything that would embarrass you if a customer saw it should be fixed in the first weeks of the new engagement.

Protect rankings during the change

The handover itself should not change the site. Freeze major changes for a short period, unless something is clearly broken, so that results can be compared. Record the baseline on the day of the change: traffic, clicks and impressions, the main queries and pages, conversions, indexed pages and the main technical metrics. Export the data from Search Console, since it keeps only a limited history. A reporting set-up like the one in the guide to a Looker Studio SEO dashboard helps both sides to see the same numbers.

Keep the useful work in place. Do not remove redirects, structured data or content just because you do not remember who added them. Understand first, then change.

Start the new partner with an independent audit

A new provider needs a clear picture of the site as it is now, not as the old reports describe it. Run a fresh audit of technical health, content, internal links and AI visibility, and share the results with both the old and the new partner. Use the technical SEO audit checklist and the guide to scoring every page in a content audit. Agree on the goals, the metrics, the reporting rhythm and the first ninety days, and write them down.

Give the new partner a short brief on your business, your customers and past problems, and the list of items from this checklist. Clear information shortens the learning time and reduces the chance of repeated mistakes.

Agree on the questions for the handover meeting in advance. Ask what the three most important changes of the last year were, which results came from them, what is half finished, which risks the partner sees and what they would do next. Ask which pages are most valuable to the business and why. Write the answers down and keep them with the other records. A one-hour meeting with a prepared list usually produces more useful information than a pile of files.

Finally, decide who inside your company is the owner of SEO after the change. Even with an excellent partner, someone on your side should know the goals, approve changes, hold the accounts and read the reports. This person is the continuity that survives any change of provider.

Close the old relationship well

Confirm in writing that the access has been transferred, that the final reports and files are delivered and that the last invoice is settled. Thank the team if they were good, since you may meet again, and ask for a short exit call to hear their view of the site. If the work was poor, record the facts calmly and do not use the site or your reviews as a place for disputes.

Here is a short example. A small business changed from a freelancer to an agency. Before the end date it moved the analytics and Search Console ownership to its own account, collected a list of redirects and a spreadsheet of published articles and asked the freelancer for the link list. A fresh audit found two old plugins that added slow scripts and a forgotten noindex tag on a section, which the new team fixed in the first month.

Site SEO AI Audit crawls your website and checks status codes, titles, descriptions, canonical tags, broken links, structured data, page speed and AI visibility settings, which gives a neutral baseline for the new partner. It does not review contracts or off-site work. The first audit of up to 200 pages is free, and larger sites can see the pricing page.

The bottom line

Own every account, collect every record and start the new partner with an independent audit.

الأسئلة الشائعة

Who should own the analytics and Search Console accounts?

Your business. The agency should be added as a user, so that access never depends on the contract.

Will my rankings drop when I change provider?

Not because of the change itself. Risks come from lost access, removed settings or sudden changes made without a baseline.

What if the agency refuses to hand over files?

Check the contract, ask in writing and secure the accounts you own first. The site and its data are yours.

Should I disavow links built by the old agency?

Not automatically. Review them first and act only where the links are clearly manipulative or a notice exists.

How long should the overlap be?

Two to four weeks is typical, long enough to transfer knowledge and compare the baseline.
